Excel Keyboard Shortcuts: The Essential List (with Mac)
Keyboard shortcuts are the single fastest way to speed up your work in Excel. Reaching for the mouse breaks your flow; a quick key combo keeps your hands on the keyboard and your eyes on the data. Learning even a dozen of the most common shortcuts can save hours every week.
This guide lists the shortcuts that matter most, grouped so you can learn them a few at a time. Combos are shown for Windows; on a Mac, swap Ctrl for Cmd in most cases (we note the exceptions). Pick the handful you use daily and the rest will follow naturally.
Examples
Real, copy-paste-ready formulas.
1. Fill a formula or value down a column
Ctrl + D (Mac: Cmd + D) Select the cell with your formula plus the cells below it, then press Ctrl + D to fill down. Ctrl + R fills to the right. It is faster than copy and paste for extending a formula.
2. Toggle filters on a table
Ctrl + Shift + L (Mac: Cmd + Shift + F) Click anywhere in your data and press Ctrl + Shift + L to add or remove the filter arrows on the header row. Press it again to clear and hide the filters.
3. Select to the end of the data
Ctrl + Shift + Down Arrow From the top cell, Ctrl + Shift + Down selects every contiguous cell to the bottom of the data. Combine with arrow keys to grab exactly the block you need in one move.
4. Enter the current date
Ctrl + ; (Mac: Cmd + ;) Ctrl + ; inserts today's date as a static value. Ctrl + Shift + ; inserts the current time. Unlike TODAY(), these do not change when the sheet recalculates.
How to write Keyboard shortcuts step by step
- 1
Start with the universal four: Ctrl + C copy, Ctrl + V paste, Ctrl + Z undo, and Ctrl + Y redo (Cmd on Mac).
- 2
Learn navigation next: Ctrl + Arrow keys jump to the edge of your data, and Ctrl + Home returns to cell A1.
- 3
Add selection: hold Shift with the arrow keys to extend a selection, and Ctrl + A selects the whole table.
- 4
Pick up editing combos: F2 edits the active cell, Ctrl + Shift + V paste special, and Alt + Enter adds a line break inside a cell.
- 5
Practice formatting: Ctrl + B bold, Ctrl + 1 opens Format Cells, and Ctrl + Shift + % applies the percent format.
- 6
Choose three to five new shortcuts each week and force yourself to use them instead of the mouse until they become automatic.
- 7
On a Mac, substitute Cmd for Ctrl in most combos; note that filter toggle is Cmd + Shift + F and some function keys may need the fn key.
Frequently asked questions
What is the most useful Excel keyboard shortcut?
Ctrl + Arrow keys for navigation and Ctrl + Shift + Arrow for selection are the biggest time-savers, because they let you move and select across large datasets instantly without scrolling or dragging.
How do Excel shortcuts differ on a Mac?
Most Windows combos work by swapping Ctrl for Cmd, for example Cmd + C and Cmd + V. A few differ: the filter toggle is Cmd + Shift + F, and some function-key shortcuts require holding the fn key.
How do I see all the keyboard shortcuts in Excel?
On Windows, press and release the Alt key to show Key Tips, which overlay a letter on every ribbon command so you can drive the entire ribbon from the keyboard.
How do I add the current date or time with a shortcut?
Press Ctrl + ; for today's date and Ctrl + Shift + ; for the current time. Both insert static values that do not recalculate, unlike the TODAY() and NOW() functions.
